Situation

The major industrial holding company unites enterprises of different profiles. The enterprises within the holding company produce a wide spectrum of production: home appliances, connection hardware, medical equipment, producer goods and raw materials. The holding company has a complex organizational structure with interrelated business processes.

One of the main targets of a company is to provide efficient recourse management and assign responsibilities. The bigger the company, the more difficult to manage its subdivisions and departments. To solve the above-mentioned problem, Aksion company decided to implement a specific informational system providing work coordination, results control and reporting.

Solution

Business Software developed the Task Management System. All tasks are stored in a table. Each task contains name, dates of assignment, planned and actual performance and approval as well as its status, priority, an author and a responsible employee.

Stored queries help searching in the list of tasks; a separate part of a screen displays them. A user can observe a list of tasks filtered by various parameters, for example, tasks for current month, overdue and reopened tasks. The tasks’ background can be filled by various colors according to their status. Each user sees his/her tasks only.

Adding a new task, the user fills out a form with brief summary of the task, an assignee and a reporter, dates of the task closing, its priority and description. A certain group of users can only assign tasks, others can only report. Thus, the system of rights and roles regulates the access to resources of the Task Management System.

An employee assigns the status Closed to a completed task. Then the task goes to a list of users responsible for tasks control and approval. If the task is successfully done, it receives Closed status and moves to the archive. If not, the task receives Reopened status. Changing statuses users can add text comments.

The system users can create own query. For this the users fill out a form and specify searching parameters according to the task searching: statuses, priorities, an assignee and a reporter depending on roles. The user can set the tasks list sorting by any parameter as well.

As soon as the form is filled out, the new query moves to the user’s list of queries. This enables the user to set the list of tasks in the most convenient way.

The Task Management System provides analytic services, i.e. reports generating. The list of accessible reports may vary as the company’s key management requests. The most important reports are overdue and delayed tasks. Every report has options to select a period and export to Excel.

The Task Management System enables tasks to be defined, responsibility assigned, and progress monitored. Thus, it provides efficient integrated management tool both for departments and corporation as a whole.
